Web-Based Item Tracking System Using Optical Character Recognition (OCR) Integration and Levenshtein Matching for Image to Record Verification

This study presents the development of a WebBased Item Tracking System with integrated Optical Character Recognition (OCR) and Levenshtein Matching, designed explicitly for image to record verification to enhance operational efficiency and asset transparency within the Local Government Unit (LGU) of Magallanes, Agusan del Norte, Philippines. The absence of a formal document and asset tracking mechanism previously hindered the LGU's ability to maintain accountability and real-time visibility over assets. To address this, the study was designed to extract text data from scanned documents such as receipts and asset tags using OCR technology. It then applies the Levenshtein Matching algorithm to compare and verify the extracted data against existing asset records. The browser accessible platform supports cross departmental integration, enabling seamless information sharing across offices. Developed in close collaboration with LGU personnel, the system aligns with established workflows and government procedures. Evaluation results indicate that the system achieved high ratings in functional scalability, usability, reliability, and overall user satisfaction. It is now fully implemented and operational at the General Services Office (GSO).
