AI in the Team Meeting Landscape

Artificial intelligence (AI) is increasingly shaping workplace collaboration, with profound implications for how team meetings are conducted and experienced. This chapter explores the growing role of AI in meetings, highlighting both current applications and future potential. AI technologies now support a wide range of functions – from live transcription and real-time translation to emotion detection, bias monitoring, and intelligent virtual assistants (IVAs). These tools aim to enhance meeting productivity, inclusivity, and decision quality. At the same time, their integration introduces new challenges related to data privacy, transparency, informed consent, and algorithmic bias. We critically examine these ethical concerns, emphasizing the need for clear communication, robust consent protocols, and governance mechanisms that ensure responsible AI deployment. We outline the hidden nature of many AI tools and the importance of making AI presence visible and understandable to meeting participants. Building on these insights, the chapter outlines key research directions, including experimental investigations into AI-assisted moderation, qualitative studies of emotional AI perception, and longitudinal analyses of AI-generated feedback on team learning. We call for the development of standardized metrics, greater diversity in training datasets, and broader adoption of explainable AI (XAI) to build trust and accountability. By integrating technical innovation with ethical foresight, this chapter offers a roadmap for understanding and guiding the evolving role of AI in workplace meetings – ensuring it enhances, rather than undermines, human collaboration and organizational effectiveness.
